Hidden Springs Resort Community Room

The Hidden Springs Resort Community Room is a spacious 25 X 30 foot upstairs room located in the Resort's Club House at the main entrance.  It's a perfect space for small weddings, family/friends reunions and meals, birthday parties, showers, receptions, or corporate retreats.  A small kitchenette with stove, refrigerator and microwave is located right next to it. The Community Room can be accessed from the upper balcony on the Club House.  It is available for rent using the online form below. Check availability.

    The person named above as the Contact Person (hereinafter referred to as the Renter) agrees to the following:
    Community Room Rental Policies
    Hours of Operation: Daily 11 AM until 10 PM. The Community Room must be cleaned and vacated immediately following the event.  Any changes in the rental hours disclosed above must be approved prior to the reservation and may be subject to rate adjustment.

    ​Rates: Non-Holidays:  $200/day or $25/hour (minimum of 4 hours required)
                 Holidays:         $300/day or $40/hour (minimum of 4 hours required)
                 (Holidays are: New Year's Day, July 4, Thanksgiving, Christmas Eve, Christmas Day, New Year's Eve)
                 Cleaning Fee: $75 (covers routine cleaning)
    ​You will receive an invoice emailed to you that you can pay using a credit/debit card or PayPal.  Reservation is not completed and confirmed until payment is received.  Full payment must be made at least 30 days prior to event.

    ​Damage Deposit:  There is also a damage deposit of $500 required 30 days prior to the event. This will also be included on the invoice you will receive by email. Should the facility be left in its prior condition, the $500 damage deposit will be returned. However, should there be damages, missing items, discrepancies or violations, the damage deposit in its entirety will be retained. In the event that damages, missing items, discrepancies or violations exceed the $500 damage deposit amount, then the Renter agrees to pay the additional amount.

    ​Requirements and Restrictions:
    1. The Renter is responsible for leaving the facility and the parking lot in the same condition as it was prior to use by the Renter (we provide regular cleaning).
    2. The Renter is entitled to inspect the Community Room prior to use. The condition of the facility will be inspected by the HSR staff immediately following the event.
    3. This is a smoke free facility.  Any evidence of smoking inside the facility will result in the forfeiture of the entire damage deposit.  Ash buckets are provided for your use outside the facility.
    4. Rental of the Community Room does not include use of the remainder of the Club House, the Swimming Pool, the Swimming Pool Deck or the Picnic Pavilion.

    Renter's Responsibilities:
    1. The Renter will be held responsible for the conduct of his/her guests.
    2. Any use of the facility must be strictly in accordance with all applicable Hidden Springs Resort Rules and Regulations, as well as laws and ordinances of Sevier County.
    3. Any sale or resale of alcohol is strictly prohibited.
    4. Any disturbance resulting in a legitimate complaint will be cause for the immediate termination of the Renter's use of the facility. Future use of the facility by the Renter, if granted, will be subject to any special security provisions deemed necessary by Hidden Springs Resort.
    5. The Renter agrees to hold harmless Hidden Springs Resort Owners Association and its Management from any and all liabilities and actions by the Renter and his/her guests resulting from the use of the facility.  Hidden Springs Resort Owners Association will not be held responsible for any loss or damage to any personal property of any kind.
    Application/Payment Procedures:
    1. Application is made using this on-line form only.
    2. If date requested is available, Renter will be emailed an invoice via PayPal.  Payment is due 30 days prior to the event. Once payment is received in full, an email will be sent to Renter confirming reservation.  The Community Room is reserved on a first-come, first-served basis based on receipt of payment.
    3. If no damage is noted and cleanup is satisfactory (we will handle routine cleaning), the deposit will be returned. Please leave tables and chairs set up to aid in cleaning.
    4. The Renter will be considered the responsible party in case of damage, theft or any disturbance during the rental period.​

    Set-Up and Clean-Up:
    1. It is the responsibility of the Renter to set up as desired. Please move all furnishings back to their original positions before leaving the facility.
    2. All items brought into the building for the event must be removed by the end of the rental period.  Renter is asked to remove food, materials and decorations.  Please place garbage in the receptacles provided. Please leave the facility in the same condition you found it.
    3. The Renter must be the last to leave.
    4. The following items are available for use during an event:
      1. Eight (6) six-foot banquet tables
      2. Two (2) eight-foot banquet tables
      3. Three (3) sixty-inch round tables
      4. Seventy-five folding chairs
    5. You may use the stove, refrigerator and microwave available in the kitchenette next to the Community Room.  Please do not remove any supplies from the kitchenette.
    6. Please do no attach decorations or displays to walls, windows or the ceiling. Please do not remove any items attached to the walls without prior approval.
    7. Please leave tables and chairs set up for ease of cleaning. Place all trash in the designated receptacles. Do not leave any trash outside.
    8. The $75 cleaning fee covers only cleaning, folding and putting away tables and chairs, cleaning and mopping of hardwood flooring, wiping down the kitchenette counter tops and cleaning the restroom. If the facility is not left in the same condition as it was found, damage and/or additional cleaning charges will be deducted from the damage deposit.

    General Rules and Information:
    1. All music and other noise must be kept to a minimum sound level at all times.  Quiet hours go into effect throughout the Resort at 10 PM each evening.
    2. All minors on the premises must have adequate adult supervision at all times.
    3. The remainder of the club house, the pool, the pool deck, and the picnic pavilion are not included in the rental of the Community Room.
    4. Please do not throw confetti, rice or birdseed.
    5. The use of flammable materials, such as candles, is regulated by the Pigeon Forge Fire Department. Please no open flames.
    6. Illegal drugs, smoking and/or gambling are not permitted.
    7. Hidden Springs Resort Owners Association, Inc. cannot be held responsible for accidents, injury or loss of property.
    8. Damage to facilities or equipment must be reported immediately.
    9. Renter agrees to be financially responsible for all damages incurred during the rental period.
    10. Misuse of the facilities or the failure to comply with these rules and regulations will be sufficient reason for denying any future applications.​

    Acceptance of Rental Agreement:
    I have read the above Rental Agreement and Rental Polices and Procedures and will abide by all stated requirements. I understand that any discrepancy or violation of these requirements by myself or any of my guests may result in the loss of my damage deposit, immediate removal from the facilities and loss of any future privileges.
